  • Account data: email address, name (if provided), hashed password, and account status (e.g., verification status).
  • Learning and usage data: course progress, assessment attempts, completions, reflections, and certificates.
  • Team data (if applicable): team membership and seat allocation status.
  • Technical data: basic logs needed to operate and secure the service.

3. How we use your data

We use personal data to:

  • Provide and operate the platform
  • Authenticate users and secure accounts
  • Track course progress and issue certificates
  • Provide team reporting and exports where enabled
  • Send essential service emails (verification, password reset, account notices)
  • Prevent abuse, fraud, and security incidents

4. Emails

Plenotrac sends essential authentication and service emails. Marketing emails are not required for platform use.

5. Sharing and processors

We use service providers (“processors”) to operate Plenotrac. This may include:

  • Resend for email delivery
  • Stripe for payment processing (when enabled)
  • Hosting and database providers for platform operations

We do not sell personal data.

6. Public verification

If you share a certificate ID or QR code, a public verification page may show certificate details. Public verification must not display your email address.

7. Data retention

We retain data for as long as needed to provide the service and meet legitimate operational needs. You may request account deletion, subject to legal and operational constraints.

8. Security

We implement reasonable security measures to protect personal data, including access controls and encryption where appropriate. No system can be guaranteed 100% secure.
